Audit and Compliance: Review of Organization-Defined Requirements

When determining the requirements for products and services, both the customer's and the organization's requirements are identified. Before committing to providing products and services to a customer, it is necessary to review these requirements to identify those that may be in conflict.

To address this requirement, it is sufficient to compare the requirements specified by the organization with those specified by the customer and identify those that conflict with each other. The demonstration that the requirements specified by the organization have been examined before committing to providing products and services to a customer can be satisfied by the:

  • presentation of the evidence of the existence of a process for the review of the requirements specified by the organization;
  • selection of a representative sample of accepted orders / contracts and presentation of evidence demonstrating that the requirements specified by the organization have been reviewed against those of the customer and that any conflicting requirements between them have been identified.

Review of legal and mandatory requirements (8.2.3.1d)

To fulfill this requirement, it is sufficient to compare the legal and regulatory requirements already determined as applicable by the organization with those specified by the customer and identify any conflicting or additional requirements.

Review and resolution of requirements other than those previously expressed (8.2.3.1e)

In situations where the organization has responded to a tender to obtain a contract, it is possible that the contract (when it arrives) may differ from the conditions of the project with respect to which the offer was submitted. It is therefore necessary to verify whether any changes have been made. Proceeding without checking or resolving the differences before the start of work can create problems later.

Management of undocumented customer requirements (8.2.3.1)

Customers often place orders by phone or face to face, without any formalization. In these cases, it is necessary for the organization to give confirmation of the customer's requirements that it has undertaken to honor. By confirming in writing what has been understood, problems will be avoided later and you will protect yourself from the emergence of ambiguities between the parties.

Retention of review result (8.2.3.2)

The result of the review could be a simple decision but could also include a list of actions to be taken to correct the requirements or modify the offer or address and resolve any problems that have become apparent. Many problems that arise after the acceptance of a contract or order are caused by a poor understanding or poor definition of the requirements. It will therefore be necessary to have rapid access to the records of activities relating to the review to accurately remember what has occurred and investigate the cause of the problems. To demonstrate that this requirement has been followed, it will be sufficient to present evidence that a person with the necessary authority has accepted each requirement, order, or contract.

Management of changes in requirements for products and services (8.2.4)

This requirement refers to the changes that have been approved and that apply to the phase of the process in which the documented information is modified and communicated. It is necessary that there is a process to communicate the changes so that users work with valid information. The requirements for products and services may not only include the intrinsic characteristics of the product or service but also any other requirement relating to their supply (quantity and timing), installation, commissioning, verification, operation, maintenance, disposal, or withdrawal. Therefore, changes to the requirements can vary greatly depending on the issue they address and, consequently, activate different organizational processes.
